Who this checklist is for
This is for AV integrators, event organizers, facility managers, and IT directors who need to inspect a creative digital signage project before final sign-off. It's especially useful if you've been asked to approve a custom shape, like a triangle LED display, and you're not sure what "good" looks like.
It's not for someone buying a single office screen. And honestly, it's probably overkill for a one-day rental where the display isn't a permanent structure. My experience is based on about 200 mid-range commercial installs. If you're dealing with huge outdoor stadium displays or ultra-budget temporary panels, your tolerance levels and inspection process might differ significantly.
1. Verify physical specifications before the build
Get the cabinet dimensions, module size, pixel pitch, and the actual shape geometry in writing. This sounds like common sense, but a lot of custom shapes are sold as "bespoke creative signage" without a clear mechanical spec.
For a triangle LED display, don't assume a standard 16:9 content processor will map your layout cleanly. Check whether the edge is physically cut or masked. If it's masked, you'll be wasting pixels and might see a dark border. Also ask how service access works. On a custom geometry, replacing a module sometimes means taking apart the wall. If that's not designed, maintenance costs will surprise you.

2. Calibrate color to a known standard
For creative digital signage, color is usually what people notice first. I use a test pattern with brand colors and compare it against a physical reference. The industry standard color tolerance is Delta E < 2 for brand-critical colors. Delta E of 2–4 is noticeable to trained observers; above 4 is visible to most people. Reference: Pantone Color Matching System guidelines.
On an LED wall, you also need to check white point and brightness. Ask the integrator for a calibration report showing each cabinet's red, green, blue, and white values. Don't rely on the demo loop. A demo loop is often brighter, more saturated, and better paced than the actual content. Put up your own content at the brightness you plan to run, and look at it from the intended viewing distance.
If the wall has multiple cabinets, the brightest cabinet usually becomes the reference. That's okay, but you need to agree on which one it is. I've rejected an installation where one cabinet had a Delta E of 4.2 from the others; the vendor tried to call it "within industry standard." It wasn't. We required recalibration at their cost.
3. Inspect seams and module alignment
This is where custom shapes get tricky. A triangular LED display with angled edges can have seams that are hard to align.
One thing I see skipped: close-up photo inspection. Take a phone with optical zoom, put a full white pattern on-screen, and shoot every seam. Look for bright or dark lines. A 0.5 mm offset might be invisible from 10 feet but obvious from 3 feet. Decide your viewing distance before you judge.
I knew I should do this on a delivery a few years ago, but thought "what are the odds?" The odds caught up with me when a custom-shaped screen had a visible 2 mm step along a diagonal edge. It didn't appear in photos because the photos were taken from 20 feet. The client's desk was 6 feet away.
4. Test the content chain and software integrations
A display can be physically perfect and still fail because the content chain is wrong. This is especially true for creative digital signage that runs on a CMS.
If the project uses QL digital signage software integrations, test them during commissioning. Verify the software version, the screen count, the layout, and the scheduling. Then test what happens when the network drops. Does the display fall back to a local file, or does it go black? In my experience, the answer is rarely in the sales brochure.
One project from 2023 comes to mind. The hardware was fine, but the cloud scheduling update removed a layout we'd approved. Nobody noticed until the display went live. We didn't have a formal approval process for software versions then. Now we do.
Run a 24-hour loop with mixed content: brand video, text, URLs, and emergency messages. If the system restarts or drops frames, you want to know before the client's event, not during.
5. Run a formal acceptance test with the client present
This step gets rushed the most. I understand why—everyone wants to finish. But a quick walkthrough is not an acceptance test.
Use a fixed sequence: full white, full black, 10% gray, color bars, a brand logo, and then actual content. Walk around the display and look at it from every angle and distance that real people will see it from. For a triangle LED display, this includes the sides if they're visible.
If your contract includes dead-pixel or brightness tolerance, check it now. I do not mean "every wall must be perfect." Physical realities happen. But the agreed tolerance should be in the contract, and the installed wall should meet it.
6. Document exceptions in plain language
I've reviewed too many sign-off sheets with "minor issues" in the notes. That's not documentation. Write down the module number, the problem, the measurement, and the acceptable range.
For example: "Module 27: Delta E 1.5 vs. reference at 60% brightness. Contract allows <= 2.0. Pass." Or "Module 14: dark horizontal line visible at 3 m. Repair required before final payment."
Looking back, I should have been firmer with exceptions earlier in my career. At the time, I thought "we can fix it later" would make things easier. It didn't. A vague exception is just a future dispute.
Notes and common mistakes
- Don't use the vendor's demo content as your acceptance test. Use your own files, at the resolution and brightness you'll run in production.
- Don't make software integration an afterthought. Whether it's QL digital signage software integrations or another CMS, specify the version and the process for updates in the project plan.
- Don't assume a triangle LED display can be treated like a rectangle with the corners cut off. The geometry changes the content design. If your content team is planning a standard 16:9 video, the shape will either waste pixels or cut off important elements.
- Be honest about what a creative LED wall is not good at. It's great for brand moments, wayfinding, and visual impact. It's usually not the right medium for long-form text or detailed data. For that, a separate LCD monitor is often better.
One last tip: if you're working with Planar displays, ask the integrator for the compatibility list and calibration report before you write the final approval. We publish the specs we're willing to put in writing. That's what you should sign off against. If a vendor won't give you the same, that's a red flag.
