How to Inspect an LED Display Before You Rent or Buy: A Quality Manager's Checklist

If you landed here searching for "box speaker planar" or "poly-planar marine speakers," quick heads-up: that's a different company. Poly-Planar makes marine audio gear, and "planar speakers" usually means planar magnetic drivers. Neither is what I do. I work for Planar, the display company—the one that builds professional LED video walls, mini LED displays, and rental-grade screens. So if you're shopping for speakers, this guide isn't for you. But if you're comparing LED displays, or trying to figure out why a P4 rental quote from one Florida vendor is half the price of another, read on.

I'm a quality compliance manager. I review roughly 120 display installs and rentals a year before they go to customers. In 2024, I rejected about eight percent of first deliveries—for brightness mismatches, dead pixels, damaged cabinets, and one memorable case where the wrong panel size showed up in matching boxes.

This is the checklist I actually walk through on an install. Seven steps. Most take a few minutes. Skip one and you're betting on luck.

Step 1: Verify the pixel pitch fits your viewing distance

Everyone asks about pixel pitch first, which makes sense. But most buyers get the logic backwards. P4—that's four millimeters between pixel centers—is fine when the closest viewer is about four meters away. If people walk right up to the screen, you'll see the grid. For rental staging, P4 is still the practical sweet spot: bright, readable, and cheaper than finer pitches.

Here's the rule I give every buyer: minimum viewing distance in meters is roughly the pixel pitch in millimeters. P4 works at four meters. P2.6 works at about 2.6 meters. If someone tries to sell you a finer pitch than your venue needs, ask yourself why. You're paying for density you won't be able to see.

Step 2: Check brightness and uniformity with your own eyes

Datasheets are a starting point, not proof. Per FTC advertising guidelines (ftc.gov), performance claims need to be truthful and substantiated—but "substantiated" doesn't mean your unit will match the brochure. I've seen two "1,000-nit" panels from different vendors where one was clearly brighter than the other, no contest.

Bring a test pattern, or at least pull up a full-white image. Check it from straight on and from an angle. What actually matters:

  • White uniformity—if parts of the screen look pink or bluish, that's color drift between panels.
  • Dead or stuck pixels—black dots and bright green or red dots are both visible close-up.
  • Scan lines or flicker—harder to see with the naked eye, but pull out your phone and film the screen. LED flicker shows up on video fast.

In my experience, most rental contracts don't spell out dead-pixel tolerance. Ours does: no more than 0.01% per cabinet, which is one dead pixel per 10,000. I want to say we've shipped below that for two years running, but don't quote me on the exact figures. The point is you should have a threshold written down before the truck arrives.

Step 3: Ask what's NOT included

This is where I get opinionated. As of Q1 2025, LED display rental pricing in Florida is all over the map—I've seen quotes ranging from $4,500 to $9,000 for what looked like the same setup. The cheap quotes rarely stay cheap. Rigging, cables, processors, a spare cabinet, on-site tech support, delivery after a certain hour... it adds up fast.

I've learned to ask "what's not included" before "what's the price." The vendor who lists all fees upfront—even if their total looks higher—usually costs less in the end. If a quote says $5,000 and the contract says "plus incidentals," walk away. That's not a discount; it's a gamble.

Step 4: Inspect the cabinets like you're buying them

Most quality problems in LED rentals are physical, not electronic. Check the cabinet corners for dents—a bent corner throws off panel alignment and shows up as a visible seam on stage. Check the locking mechanisms between cabinets. Check that all the panels are from the same batch, because mixed batches can have subtle color differences.

And here's a lesson from my own mistake: I once approved an order where the vendor and I both said "P4 panels." I meant a specific cabinet model from a specific manufacturer. They delivered a different brand with slightly different dimensions, and the locking points didn't line up with the flight cases. We were using the same words but meaning different things, and we discovered it when the crew was on site and the screen wouldn't go together.

Now every contract I touch includes the exact model number and cabinet dimensions. It feels overly specific until it saves you a day of labor.

Step 5: Get the dead-pixel and burn-in policy in writing

For rentals, ask what happens if a panel fails during your event. If a cluster of pixels dies on day two, is the swap free? Does the vendor keep a spare on-site, or is it a two-hour drive away? Some rental contracts hold the customer responsible for damage that was already there. If you ask me, that's a deal-breaker.

For permanent installs, ask about uniformity tolerance between panels. If you're putting together a 2x2 video wall with mini LED panels, one slightly different panel will stand out every time someone looks at the wall. Per FTC guidelines (ftc.gov), if the quote says "uniform," that's a claim you can hold them to.

Step 6: Walk the signal chain

A screen that looks perfect in a warehouse can fall apart at the venue because of cabling, processors, or power. Ask the vendor three questions:

How long are the cable runs from the processor to the cabinets? Long runs need better cabling or converters, and not every crew brings them. Is there a backup processor available? And what happens if the main feed drops—does the screen show a test pattern, or does it go black? A black screen at a live event is a nightmare. I'm not a signal engineer, so I can't speak to the technical fixes. From a quality perspective, the question is simpler: what's the failure mode, and what's the plan for it?

Step 7: Sign off on paper, not a handshake

Before the final invoice is paid, walk the screen with the crew lead. Run the test pattern at full white for at least five minutes—heat reveals problems. Walk the entire surface close up, not just from the front of the room. Then confirm the invoice matches the original quote. If a line item changed, catch it that day, not a week later.

Common mistakes I still see

Comparing only price per square foot. A cheaper rate with no spares, no support, and no setup crew costs more in the end. The rental that looks expensive on paper is often the one that actually comes in on budget.

Assuming "same specs" means the same product. Same pixel pitch, same brightness claim, different manufacturer—different reliability. It's tempting to think you can line up two spec sheets and call it a comparison, but the spec sheet is the marketing document. The product is what shows up at the loading dock.

Waiting until arrival to check the gear. If your event is Saturday and the screen arrives Friday afternoon, there's no time to fix anything. Schedule a pre-burn test with the vendor, or at a minimum ask for photos of the actual cabinets before shipment.

Bottom line: a display quality check is mostly common sense, but it has to be written down and agreed upon before money changes hands. I've seen a $22,000 launch event delayed by one bad panel that someone swore was "fine." It wasn't fine. A few minutes per step beats that email.
