If you are pricing an LED screen for your company, you are probably looking at the wrong number. I have been doing this for a while, and I can tell you: the cheapest quote almost always costs more in the long run. For a professional LED video wall or a permanent digital signage installation, the deciding factor should not be the initial invoice. It should be the Total Cost of Ownership (TCO). And when you run that calculation, Planar often wins—not because their units are cheap, but because their hidden costs are nearly zero.

I manage procurement for a mid-sized systems integrator in the Midwest. We do a lot of control room setups and event rental work. Also note: not every Planar product is the right fit. Their high-end luxury MicroLED line is incredible but expensive. If you are doing a corporate lobby and want a wow factor, it is perfect. If you are doing a classroom display, their standard LCD line might be overkill. You have to match the product to the application.

How to Do Your Own TCO Calculation

You do not need a complex spreadsheet. Here is the simple version I use. Ask every vendor for the following line items:

  1. All-in delivered price (including shipping, crating, and any destination fees).
  2. Installation time estimate (in hours, and what that includes).
  3. Warranty terms (what is covered, for how long, and what the process is for a claim).
  4. Configuration support (is there a manual? a phone number? a training session?).
  5. Expected lifespan (ask for the MTBF—Mean Time Between Failures—in hours).

Take those numbers and project them over three years. For a rental display, one year is enough. For permanent installation, use five years. According to USPS (usps.com), shipping costs for large items are typically based on dimensional weight, so always ask for a detailed shipping quote. Per FTC guidelines (ftc.gov), any claim about ‘lifespan’ or ‘energy efficiency’ should be substantiated with documentation. If a vendor says a panel lasts 100,000 hours, ask for the test report.

That ‘free setup’ offer from a budget vendor? It probably does not include the configuration software or the licensing. I have seen a $200 ‘setup’ turn into a $1,200 bill for the software key. Read the fine print.

Bottom Line

You are going to pay for the display twice: once when you buy it, and once when you own it. If you only optimize for the first cost, you will overpay on the second.
