Planar LED Screen Procurement Checklist: Digital Signage Budgeting Without the Sticker Shock

Look, I get it. You type 'led screen screen' into Google and get 40 million results, none of which tell you what to actually buy. That's why I wrote this.

I'm a procurement manager at a 200-person AV integration firm. I've managed our digital signage budget for 6 years — about $350,000 annually — and I've documented every order in our cost tracking system. I've specified Planar displays in control rooms and lobbies, and I've also walked away from Planar quotes when the price didn't make sense. This is the checklist I wish someone had handed me before my first video wall project.

Here's how to buy an LED screen wall without the sticker shock. It's seven steps, and the checkpoints matter more than the pretty demos.

Step 1: Define the real-world viewing distance before you talk size

Don't start with 'I want a big screen.' Start with where people will stand. A 2.5mm pixel pitch LED wall looks great from 8 feet. From 30 feet, you can't tell the difference between 2.5mm and 4.8mm — but you can tell the difference in price: roughly 30–40%.

For our lobby wall at HQ, we used a Planar 1.9mm LED video wall because visitors could stand as close as 3 feet. For a hotel ballroom project, we dropped to 3.9mm and saved $18,000.

  • Checkpoint: Check ambient light. Direct sunlight through glass changes your brightness requirement.

Step 2: Get pixel pitch right — over-spec is the most common budget killer

LED panels are priced by pixel pitch, not by 'size.' The finer the pitch, the more modules, power supplies, and labor it takes to tile the same area.

The rule I use: if the closest viewer is further away than the screen is tall, you're probably overpaying for pitch. A 2.5mm pitch at 15 feet is a no-brainer. A 1.5mm pitch for a highway billboard is just bragging.

One caveat: if you're putting a screen behind a storefront window and people walk right up to it, a Planar LookThru transparent OLED is a different beast. But for standard LED video walls, pitch is the number that moves your total cost.

Step 3: Calculate TCO, not just the quote

Here's the thing: the sticker price is basically the entry fee. I've seen this pattern many times. Not just in displays — everywhere.

When comparing quotes, add:

  • Media player or compute device
  • Mounting bracket and structural steel
  • Cable, conduit, and network drops
  • Delivery and site access (freight elevator, for example)
  • Installation labor (often quoted separately)
  • Electrical work and permits
  • Content management software license
  • Training for your team
  • Spare modules and service contract

In Q4 2024, I compared 5 vendors for a 12-foot wall. Vendor A quoted $42,000. Vendor B quoted $34,500. I almost went with B until I added in their $2,100 delivery charge, $3,200 for a structural engineer, and $1,800 for network setup. Total was $41,600. Vendor A included all of that except network setup.

That's a 20% difference hidden in fine print.

Step 4: Choose the media player before you pick the screen

Most people skip this and then discover their 'cheap' display doesn't support their content platform. Don't be that person.

If you're looking for a digital signage media player for tablet-based signage, understand that a consumer tablet in a mount isn't a professional player. It's a security problem. Professional players support remote monitoring, scheduled restarts, and central content updates. The cost difference is small — maybe $200–400 per location — and the operational headache it saves is huge.

I have mixed feelings about media player subscriptions. On one hand, an annual license fee feels like a tax. On the other, an unscheduled site visit costs more than a year of a good license.

Switching to a network player cut our content turnaround from five days to two days. That's the efficiency that makes a system pay for itself.

Step 5: Price the installation: mounting, rigging, and permissions

For a digital signage deployment in Geneva, we quoted a 12-panel wall. The bid was 25% below the local AV integrator — until the venue required a union electrician and a dedicated rigger. That added $2,300 to the budget. The local integrator had already included it because they knew the building.

Also, you don't need a planar laser scanning system to align a video wall. A cross-line laser level and a good installer are usually enough. Don't let a vendor upsell exotic alignment services unless the wall is curved or irregular.

Looking back, I should have budgeted for network setup in the first contract. At the time, I assumed my IT team could handle it in an afternoon. They couldn't.

Demos are where you spot these problems. Don't let them run their 4K drone footage on your wall; bring your actual files, your resolution, and your stale-branding PowerPoint.

I have mixed feelings about extended service contracts. On one hand, they can feel like insurance you're overpaying for. On the other, a module failure in a public lobby can cost more in lost goodwill than the contract costs in five years.

Not every vendor is out to get you, but you should still watch for these:

  • A quote that doesn't list exclusions. If the sales rep can't tell you what's not included, assume it's not included.
  • 'Free' setup that excludes content loading and network configuration. That 'free' thing will cost you exactly the configuration fee.
  • No local reference site. For a piece of mission-critical equipment, a remote reference isn't enough.

Bottom line: an LED screen wall is a business purchase, not a trophy. If you control the pixel pitch, TCO, installation, and spare plan, you'll probably end up with a reliable screen and a budget that still has room for the next project.
